The math doesn't work
Five minutes per client. Four thousand clients. You don't have a hundred days.
The numbers tell themselves. A carrier non-renews a chunk of your book, or rates spike enough that customers will start shopping. Your CSRs each get through two or three personalized texts a day on top of their regular work. Meanwhile, renewal dates are landing on the calendar in waves.
The customers you don't reach in time go to the agency that called them first. Your loyalty doesn't matter when their renewal lapses on a Tuesday and someone else's quote arrives that morning.

The system handles the whole sequence — first contact, follow-ups, response detection, handoff to a human when the customer engages. What we built
A regional broker. 4,000 at-risk clients. One week to deploy.
A regional broker came to us when one of their primary carriers raised rates and stopped covering a large slice of their book. Four thousand customers were at risk of losing coverage if their renewals lapsed before the broker could move them to a different carrier.
The manual workflow they'd been running was the obvious one: CSRs sending texts one at a time, five minutes per customer, two or three customers a day. At that rate, they'd get through the book in three years. The book would be gone in three months.
We built and deployed a smart SMS automation system in one week. It used a Google Sheet as the source of truth — contacts, message templates, response tracking — so the existing staff could actually run it without retraining. Messages went out only during business hours, paced so callbacks didn't pile up. Follow-up sequences fired at 3, 5, and 7 days. The second a customer replied, the system stopped contacting them and routed the conversation to a CSR.
